Six hundred people, one keynote stage, and a network that gave out halfway through the Q&A. That’s what happened at a regional sales conference in Charlotte last spring, according to Dana Wexler, an independent event producer who’s run corporate meetings for over a decade. Attendees couldn’t submit questions through the event app. The moderator ended up reading from index cards instead.
“Nobody plans for the network the way they plan for catering,” Wexler said. “You’ll spend three meetings arguing about chicken versus salmon and five minutes on internet, and then the internet is the thing that actually breaks.”
It’s an odd blind spot, because the math isn’t complicated. A single 4K livestream eats roughly 25 Mbps continuously. Add a press pool filing photos, three hundred attendees checking email during breaks, and an app pushing live polling data, and a hotel’s shared uplink — the same one every other event in the building is fighting over — runs out fast. Most convention hotels weren’t wired for this. They were wired for guests checking a weather app, not for a general session pulling bandwidth like a small ISP’s worth of traffic.

Home networking has the same failure mode in miniature. Add enough smart TVs, laptops, and phones to one router and speeds crawl even though the internet plan itself is fine — the bottleneck is contention, not bandwidth. Conference venues hit that wall constantly, just with a few hundred devices instead of a few dozen. Drop enough attendees into one ballroom and the access points saturate long before the building’s actual internet connection maxes out.
Marcus Ferreira, a network consultant who audits event infrastructure for corporate clients, put it bluntly: “The venue will tell you they have great wifi. What they mean is great wifi for forty rooms of guests checking email at 11pm. Put four hundred people in one ballroom running an app that pings every ninety seconds and you’ve built a denial-of-service attack on your own network.”
That gap is exactly why conference planners have started going around the venue entirely. Instead of hoping the house network holds, they’re bringing in dedicated conference wifi solutions built specifically around headcount, device density, and what the agenda actually requires — not whatever spare bandwidth the hotel’s IT closet happens to have left over.
What a Purpose-Built Network Actually Looks Like
The difference isn’t just “more bandwidth.” It’s design. The Real Cost of Getting It Wrong
Wexler estimates that a network failure during a keynote costs more than the fix would have. “You’re not just losing the livestream. You’re losing the sponsor logo that was supposed to display on the app, the survey data you wanted from the audience, and the goodwill of six hundred people who now associate your brand with a broken Q&A session.” She’s since made network testing part of every site walkthrough, alongside checking sightlines and power outlets.
Independent providers typically run a site survey weeks ahead of the event — mapping dead zones, counting expected devices per session, and building a network diagram before a single access point ships. That planning step is the part venues almost never offer, because their job is renting rooms, not engineering networks for one-day loads that spike five hundred percent above baseline.
There’s also a carrier problem most planners never see coming. A venue’s fiber connection might be solid, but if the building sits in a concrete-and-steel structure with a single cellular carrier’s tower nearby, anyone relying on a personal hotspot as backup is out of luck the moment the main link hiccups. Ferreira says the fix he recommends most often is multi-carrier redundancy — pulling signal from more than one network simultaneously so a dead zone on one carrier doesn’t take the whole room down. “I’ve watched a general session survive a fiber outage because the backup kit automatically failed over to cellular within seconds. Nobody in the audience even noticed. That’s the whole goal — boring, invisible infrastructure that just works.”
Budget is the other recurring surprise. Wexler says clients often assume dedicated event connectivity costs more than it does once they compare it against the alternative: paying the venue’s in-house AV department for “premium” internet that still can’t handle three hundred simultaneous devices. “You’re not comparing apples to apples,” she said. “One option is a guess. The other is an engineer who’s done this hundreds of times telling you exactly what you’ll get.”
The pattern shows up across industries — trade associations, sales kickoffs, academic conferences, and product launches all hit the same wall once attendance crosses a few hundred people. The events that go smoothly aren’t the ones with bigger AV budgets. They’re the ones where somebody treated the network as seriously as the agenda, weeks before the first attendee walked in.
Next time a conference room goes quiet mid-keynote because “the wifi’s down,” it’s worth asking whether that was ever really the venue’s network to fail in the first place — or whether the planning simply happened too late to catch it.
